Also, re: sponsors need to plan/coordinate:
C. If some of our sponsorship offering involves extra visibility in our site, such as a sponsor's virtual exhibition, where you can click to watch a video and sign up for info/swag, that also needs to be coordinated between web and sponsorship teams, including the delivery, format and length of sponsor copy to be included in the site, and deadlines for delivery. I don't know if we could get sponsorship in kind from someone like Postman who do so many events? They probably have a team, platforms and assets for event and sponsorship management. If they could donate in kind and help coordinate and deliver some of these things in exchange for being top sponsor, that could be awesome. |

@Leamsi9 thanks for the input, I updated the description. We definitely aim for hybrid, so there will be live streaming done too. In description you can find new section as for the sponsors, I added to the list |

I think we should also add on this To do list tasks that require visual/marketing design. Ex: for the 2021 conference, we had Speaker Cards, Stream graphics, website, etc. I could definitely help with all of these things, but would love to have a list of things that we need so we can prepare the assets well in advance 😄 |

Yeah I think a dedicated section works best since there are plenty of items that would fall under that section. I just edited the description and added the items that I could think of for now. We could definitely build that list if we need to add more items that are needed from design! |

Yes, of course, I will be happy to coordinate swags for the event. I'm fine with either option. However, I think it makes more sense to be an additional coordinator with @mcturco in the design section since I will only be working with the management and the swags are also the design. please share here or in the other discussion we have about sponsor prospectus the examples you got from LF Yes, I published this here. |

@AceTheCreator I definitely recommend watching recording of the conference meeting https://www.youtube.com/watch?v=-UrKHcZ9tpk I mentioned your idea about app that shares a promotional banner for people that register for the conference. So they can share on their socials. Wanna coordinate this? I remember @magicmatatjahu told me few days ago he can help with technical tasks, this sounds like a cool task 😄 |

hello @derberg 😊 We can take care of asking for quotes from other companies that have the necessary material to do the streaming if FL does not finally do it, choose what things they need, such as the number of cameras needed, where to place them when they are on the site, etc... coordination of that part. |

I was given the link to this thread by @derberg as I expressed interest in being involved in the conference planning given my previous experiences. I'd like to review CfPs cc @alequetzalli where can I start please? I can hep with also picking out topics that should be lighting talks, longer sessions talks and also help with time schedule for the event. |

I definitely agree it is not hard. It is harder to know it is that simple. It's better to have a one-liner tip in speaker notes, as we do not know who will use those, and what is the knowledge level of each user. I added it there now. |

We found that recording on the bottom left required a very small speaker video, like in your mp4, or it overlaid content on almost every slide (or the slide content is weirdly offset to the right). Having the recording on the bottom right was a lot simpler to minimize any clipping. I'm hoping it'd be okay to use the bottom right, so we can get a larger speaker overlay, but please let me know if this causes a headache for the admin side (for sponsor overlays or whatever else) and we can use the bottom left. |

Folks, please have a look at recording of today's meeting #479 There is one important topic raised by @jonaslagoni at the end of meeting. Jonas asks if he can present life. He has 2 presentations. From my point of view, he is a special case, so I do not see a problem. If we allow one person to do it, it will not complicate the conference from organizational point of view. Please share opinions in reply |

I'm totally in favor of live presentations, I feel I'm (me as watcher) more connected with the presenter. Otherwise, it feels like watching any other video tutorial or similar on internet. In fact, in that case (pre-recorded) I usually wait for the videos to be published to watch them all because I don't think being connected to the conference gives me any added value. So +1 to this. Would be awesome if we can support others to make it live if they also want. |

Ok, got the final confirmation from the last company that they can't make it this year. so we stay with 2 sponsors, one platinum and one gold @WeeProducciones @AceTheCreator luckily we had $8k left from last conference, so we have $16k to cover costs |

We need a project-management-like list of stuff to do for the conference 🚀
Below is:
What- what has to be done in generalCoordinator- is not necessarily someone that does the job, we mainly lack focus on coordination. Examples:Conference related bi-weekly meetings@derberg coordinates by making sure it always happens, there is a host and list of things to do is checkedTalking to sponsorsdoesn't mean the coordinator is responsible for talking to sponsors, but for tracking it happens and who talks to whomProspectus creationdoesn't mean the coordinator must create it. The coordinator must find people to work on it, and publish it. Of course, the coordinator can work on execution too.It is like in project management, we simply need a person that we can ask "how is it going with
